1. Introduction

Welcome to Realm Hawk ("we", "our", "us"). By using our website to submit inquiries for custom sportswear manufacturing, you agree to be bound by these Terms & Conditions. These terms govern your use of our website and the services provided—including design consultations, digital proofs/samples, and custom manufacturing.

2. Our Business Model

• Inquiry-Based Service:
  Our website functions as a platform to collect inquiries for custom sportswear production. We do not sell ready-made items through an online store. After receiving your inquiry, we provide consultation, digital proofs or samples, and proceed with production once approval is received.

• Custom Manufacturing:
  As all products are made-to-order, production only begins after you approve the provided design proof or sample. Once production is underway, orders are considered final and non-refundable, barring rare exceptions communicated in advance.

3. Inquiry, Order & Customization Process

• Inquiry Submission:
  You are responsible for submitting complete and accurate information through our inquiry form. This information helps us understand your requirements and initiate your order process.

• Design Consultation & Approval:
  Our process includes a design consultation, followed by a digital mockup or sample for your review. Production only proceeds after your written approval. Please ensure all details are correct before providing final confirmation, as changes post-approval may result in additional charges or delays.

• Minimum Order Quantity:
  As a manufacturer, we require a minimum order quantity per product category. Specific MOQs are provided during the consultation based on item type, complexity, and customization level.

• Customization Options:
  Clients may choose from various fabrics, colors, sizes, neck/sleeve styles, and branding elements. Final customization options will be documented and agreed upon before moving to production.

4. Pricing & Payment Terms

• Pricing & Quotes:
  All quotes are issued following the design consultation and are valid for 30 days. Pricing may vary based on materials, design complexity, and order volume.

• Payment Schedule:
  A 50% deposit is required before initiating production. The remaining 50% must be paid upon order completion and before dispatch.

• Payment Due Dates:
  Invoices for deposits and final balances are due within 15 calendar days from the date of issue unless otherwise agreed. Timely payments ensure your production and delivery schedules stay on track.

• Accepted Payment Methods:
  We accept payments via:

  • Bank wire transfer

  • Banker’s cheque (approved local customers)

  • Western Union

  • MoneyGram

  • Other secure payment solutions as mutually agreed

• Currency:
  All prices are quoted in USD, unless another currency is explicitly agreed upon in writing.

• Late Payments:
  Delays in payment may result in production or shipping hold-ups. We strongly advise settling invoices within the stated period to avoid disruption to your order timeline or future arrangements.

• Credit Terms:
  Realm Hawk operates on a prepaid basis only. We do not offer credit or post-shipment payment terms. All orders must be settled according to the stated payment schedule.

5. Order Cancellation Policy

Orders may be canceled without penalty within three (3) business days of placement. Requests made after this period may be subject to administrative charges or forfeiture of the deposit—particularly if production has already commenced or raw materials have been sourced.

6. Delivery, Shipping & Taxes

• Production Timeline:
  Standard production requires 2–4 weeks from final design approval. Rush orders may be possible with advance notice and applicable charges.

• Shipping:
  We offer secure worldwide shipping through trusted carriers. Shipping costs, timelines, and tracking details will be confirmed once your order is ready for dispatch. If you have specific delivery preferences or requirements, please inform us during the consultation.

• Taxes & Duties:
  Prices quoted do not include import taxes, duties, or local customs charges. These are the responsibility of the customer and may vary by region. Please consult your local authority if unsure.

7. Intellectual Property

• Design Ownership:
  All design files, mockups, and production assets provided during the consultation remain the property of Realm Hawk until full order approval is received. Clients may not reuse, reproduce, or distribute Realm Hawk’s design assets without written consent.

• Content Use:
  The content, visuals, and branding on our website are protected and may not be reused or copied for commercial or non-commercial purposes without prior permission.

8. Limitation of Liability

• Scope of Liability:
  Realm Hawk’s liability in connection with your order is limited to the total amount paid by you for the product in question.

• Excluded Damages:
  We are not liable for any indirect, incidental, or consequential damages, including but not limited to delays caused by third-party couriers, digital color variation, or customer misunderstanding due to unconfirmed design specifications.

• Disclaimer on Custom Work:
  As each order is made-to-measure, slight variances in material handling, print application, or color tone may occur and are not considered defects.

9. Website Content Accuracy

While we make every effort to keep all visuals, specifications, and customization options on our website accurate and up to date, minor changes may be made without prior notice. This may include product mockups, fabric descriptions, or design features, which are updated regularly as part of our commitment to quality and innovation.

10. Dispute Resolution

These Terms & Conditions are governed by the laws applicable in our jurisdiction and, where relevant, by international business laws. Any disputes arising from these terms shall be resolved through informal negotiation. If a resolution cannot be reached, disputes will be handled in a manner that is fair and efficient, without imposing undue liability on either party.

10. Modifications to These Terms

We reserve the right to modify these Terms & Conditions at any time. Updated terms will be posted on our website with an effective date. Your continued use of our services after any changes constitutes acceptance of those new terms.
